Print on demand

Print on Demand

· AceDropshipping

Print on demand means the design is applied when the order arrives rather than in a batch you have to buy and store. You hold no inventory of the printed version, which is why it is the lowest-cost way to test whether a design sells at all.

The term covers a few different arrangements, and confusing them leads to disappointment. On a fully automated POD platform, a customer uploads a design and the system prints and ships it without a human touching it. Here, the printing is per order, but the order still comes through us as a list. That is a real difference in how it feels to operate, and this page sets it out before the pricing.

What print on demand actually means here

The product exists already — it is in stock in our warehouse. The design is applied to it at the moment an order is packed. Nothing is printed until somebody buys something.

That single fact is what you are buying. On a batch print run, the design decision has to be made before the orders exist, and the printed units are then inventory: they occupy space, they tie up cash, and if the design does not sell they are dead stock. On print on demand, the design decision can be made after the orders exist, and a bad design costs you one unit rather than a thousand.

The cost of that flexibility is a higher per-unit price, because printing one item carries the same setup as printing the first item of a large run. You are paying for the option, and the option is usually worth it while you are still finding out which designs work.

What can be printed on

Print methods depend on the material, not on preference. These are the practical pairings.

Product familyTypical methodWhat to expect
Textiles (tees, hoodies, bags)Direct-to-film transfer or screen printHolds detail well; the hand-feel differs between methods
Rigid items (mugs, bottles, cases)UV print or transferVery durable; curved surfaces limit coverage to a band
Paper and card (insert cards, tags)Digital printThe lowest-cost and sharpest; also the fastest to reorder
Small flat itemsUV printGood detail; colour accuracy depends on the substrate

If a method cannot hold your design at the size you want, we will say so before printing rather than after. The usual limitation is fine detail on a textured or curved surface.

What artwork you need to send

POD quality is capped by the file. These are the requirements, in order of how often they cause a problem.

  • Vector preferred. AI, EPS, SVG or a high-resolution PDF. Vector can be scaled to any print size without softening.
  • If it must be raster, send it at the final print size at 300 DPI. A 500-pixel logo cannot be printed across the front of a hoodie.
  • Transparent background for anything that sits on a coloured surface, otherwise you get a visible rectangle of the background colour.
  • Colour specified, not described. Pantone references if the exact colour matters. Printed colour does not match screen colour.
  • Told us the print size and the placement. Left chest, full front, sleeve, back — each has a different practical maximum and a different price.

How the per-unit cost behaves

POD pricing is dominated by setup, which is why small quantities look expensive per unit and large quantities stop being POD at all.

QuantityPer-unit costWhat it really is
1–10 unitsHighestSetup spread across almost nothing — this is the true cost of flexibility
Tens to low hundredsModerateSetup starts to dilute; still no inventory risk
Hundreds and aboveApproaching a batch runAt some point a batch print is simply cheaper than POD — and at that point you should switch

The switch-over point is different for every design, because it depends on how much setup the method carries. If you are ordering the same design repeatedly at volume, ask for a batch quote — continuing to pay POD prices out of habit is a quiet way to lose margin.

Where print on demand fits, and where it does not

POD is a tool for a specific stage. Using it at the wrong stage is how sellers end up paying too much or being disappointed by the model.

  • Good fit — testing designs. You have several designs and no idea which sells. POD lets you find out without buying inventory.
  • Good fit — long tail. Many designs each selling a few units. Batch printing any one of them would be irrational.
  • Good fit — personalised goods. Names, dates, custom text. There is no batch version of a one-off.
  • Poor fit — one proven design at volume. If you sell the same design repeatedly in large quantities, a batch run is cheaper and you should be doing that instead.
  • Poor fit — tight deadlines. Per-order printing adds a step before dispatch that batch stock does not have.
  • Poor fit — full automation expectations. If the requirement is a completely hands-off pipeline with no order list, that is a POD platform, not this.

The process from design to shipped order

Short, because there is nothing to tool and nothing to batch.

  • 1. Choose the base product. A stock item from the catalogue, with a known unit price and minimum.
  • 2. Send the design with print size and placement. The two details people forget, and the two that decide whether the result looks deliberate.
  • 3. Receive a printed sample or a digital proof. For a first design, a physical sample is worth the time. For a repeat design, a proof is enough.
  • 4. Approve. The approved sample or proof becomes the reference for every later order.
  • 5. Orders arrive and are printed per order. Packed, photographed and combined with any other items in the same order.

Why POD and combined shipping belong together

The economics of a printed-on-demand item are thin, which makes the parcel cost proportionally more important — and combining is exactly how the parcel cost comes down.

A customer who buys a printed tee and a mug pays one international charge if both are packed together, rather than two. Since a POD item often carries a lower margin than a stock item, that saving frequently decides whether the order is profitable.

This is also why POD and a consolidating warehouse suit each other: the design is applied at packing time, in the same building where everything else already sits, so nothing has to be shipped between facilities to make it work.

Questions about print on demand

What is print on demand in one sentence?

It means the design is printed when an order arrives rather than in a batch you buy and store in advance.

Do you have to hold inventory of the printed product?

No. That is the point. Nothing is printed until an order exists, so a design that does not sell costs you nothing beyond the unit that did not sell.

Is this fully automated like a POD platform?

No. Printing is per order, but the order still reaches us as a list rather than through an integration. If you need a completely hands-off pipeline, a POD platform is a different product.

What file format should my design be?

Vector preferred — AI, EPS, SVG or a high-resolution PDF. If you must send a raster file, send it at the final print size at 300 DPI.

Can I print in full colour?

Yes, within the method's limits. Fine detail on textured or curved surfaces is the usual constraint, and we will tell you before printing rather than after.

How is the per-unit cost different from a batch print run?

It is higher, because the setup is spread across one unit instead of thousands. In exchange you carry no inventory risk and can change the design tomorrow.

When should I switch from POD to a batch run?

When the same design is selling repeatedly in volume. At that point the setup is being paid over and over, and a batch quote will be cheaper. Ask for the comparison rather than assuming.

Can I personalise each unit differently?

Yes, and that is one of the strongest uses of print on demand — names, dates and custom text have no batch equivalent.

Does the printed item ship from China?

Yes. Every parcel leaves our China warehouse. There is no local print facility in the destination country.

Can a printed item be combined with other items in the same order?

Yes, and it should be. Printing happens at packing, so the printed item goes into the same parcel as everything else in that order.
